Hi all
First call for volunteers for the 2016 Carl Roach event
Informal meeting at Club House Friday 25th March 2016
Thank you to the members who have already put themselves forward.
Headquarters - Hirwaun Community Centre (Tim)
Catering - Allan, Mary and Lindy
Results board and presentation – Steven Madeley
Time keepers – Norman James, Robin Field and Tudor Thomas
Top and middle (McDonalds) roundabout – Lead Marshal – Andy Harries
Signing on and numbers at HQ – Ceri and Jan
Now in search of people who can commit to the other main ‘jobs’
Signing the course
Marshalling (the more the merrier)
Pushers (a few, as there is provision for 240 riders)
There is always something else to do, so if you can be at the HQ to assist with riders’ questions or be able to cover, that would also be appreciated. If you are unsure of what is required, there are plenty of experienced members who can point you in the right direction and answer questions.
Ogmore Valley Wheelers always puts on a fantastic, well supported event, so this year should be no different. The more people who can volunteer and commit to the date, the better, and you will make the Event Secretary very happy ;)
15. Club and Open Events
......................"To ensure the safe running of OVW Open events, the Event Secretary will reserve the right to withdraw any OVW rider to provide extra marshalling cover. In these instances, the club will reimburse the withdrawn rider/riders with their entry fees.
Not withstanding any CTT or BC regulations, the event secretary’s decision on all matters appertaining to the event will be final."

Just a reminder about the meeting this coming Friday.
As an organiser, I find it much less stressful to have plenty of volunteers well before the event. So it would be good to have more names coming forward to help.

I'm riding the event, also happy to help out. My son who is 17 is happy to help out to marshal the event. Though I'm sure it'll involve a money incentive from me to get him out of bed ::)

I will put up the signs on the Resolven and Aberdulais interchange and then remain at Aberdulais to marshal. Perhaps if last years "Elves" will return to help, things will be a little easier. I will speak to 25er's before the event.

Thanks again to all who have put themselves forward as helpers / marshals / etc and to rummage through the lock up to stock take the equipment.
The pool of marshals is not nearly as long as it needs to be. If your name is not on the list and should be, please let me know. I have had a few tentative offers of help (who I have not included on the list), but really need these to be firm offers now.
There are some OVW members who have entered the event, but if we do not get enough marshals to run the event safely, then entries may be withdrawn (See rule 15, below). Hopefully that is an incentive for those wishing to ride to recruit their fellow club members into marshalling duties.

Andy - thanks for sorting the upper course.
The pool of marshals has grown a little.
We now also have Alan Booth and Neil Poulton (the original) - I think Ron may be grabbing both of you for the lower course.
Thanks for coming forward. With each new marshal, comes at least 10 less grey hairs for the organiser ;)

The story so far......
All going well - We have enough marshals and helpers - thank you
OVW members who have entered the event have also volunteered to marshal after their ride - Thank you. You might want to bring a chair to have a sit down ;)
The event closes on the 12th April, after which we will know how many riders have entered and therefore I can set the field, and start sheets will be sent out .
Emails will be sent to all marshals with information and guidance. Lead marshals will arrange to collect equipment and to ensure their chosen marshals available.

Preparations are going very well, and the combined effort from members is working brilliantly. Please keep in touch with each other.

The start sheet is almost ready to be published. First rider will start at 8.01am and last rider will start at 11am

Signs / marshal jackets / flags / catering bits etc have been collected from the lock up.
I will have some marshal jackets and trousers at the club if anyone wants to collect theirs tomorrow.
Please try to attend club so everyone is as happy and informed as they can be about their role in the event.

Marshalls need to bring along a pair of pliers for cutting the cable ties when taking the signs down. I have three Hi Vis jackets for the turn marshalls.

If someone is passing the "Turn" at Aberdulais after 7.30 please pick up a cake to take to HQ to feed the riders. If anyone has a start sheet they can drop at the turn it would be nice.Ta

What a Team! Flawless performance once again by the OVW volunteers giving their time to make this event so much successful. Thank you Teresa, your organisation of the event was brilliant and we had some great feedback from the riders.

Thanks again to everyone who put in a great effort to run an outstanding event yesterday. Personally, I really enjoyed riding it and even more enjoyed hearing all the positive comments about how good the event was from other riders.
